Frequently Asked Questions

This page has been designed to answer frequently asked questions regarding the financial systems that Finance Technology supports.  The FAQs below are not exhaustive but offer system users key details in order to navigate through each system.  Another resourceful page is the Financial Systems Table.  If your question is not covered in the FAQs, please refer to the Help Desk at 854-1919.






AP/CAR

Q. Who do I contact if I need to reset my ID?
A.  The Help Desk can reset your password.  The Help Desk can be reached at 854-1919.

Q. Who do I contact about the status of my AP/CAR ID?
A.  Please contact the AP Service Center (apservice@columbia.edu) or call (212) 854-2122 for status inquiries and application questions. 

Q.  Who do I contact if my ID has been suspended or expired?
A.  If your ID has been suspended or expired, your manager or departmental administrator must send an e-mail to the AP Service Center requesting to have your ID unsuspended and/or reinstated.  Please note, if you are a temporary, casual, work-study or NY Presbyterian employee, the e-mail must include an end date (maximum length of time is 6 months).

Q.  How do I get DAF Authority in order to approve invoices in AP/CAR?
A.  DAF Authority is different from having AP/CAR access.  In order to gain DAF Authority, the DAF form must be completed and mailed to General Accounting for processing (electronic submittal is unavailable at this time).  Accounts Payable does not process requests for DAF Authority nor can Accounts Payable modify any existing profile.  Please see the DAF form under Forms Library for more details. 

Q.  What do I need to do if I currently have access to AP/CAR and need additional access?
A.   Existing AP/CAR users will need to complete another application in order to gain additional access.  The new application is subject to verification and approval by Accounts Payable Data Custodians and the user’s direct manager.  Contact the AP Service Center for help.  

Q.    How can I maintain access to AP/CAR if I am transferring from one department to another?
A.    If you are transferring to another department within the University and require AP/CAR access for the new department, you must complete another AP/CAR application.  The new application is to modify your existing access and requires verification and approval by the Accounts Payable Data Custodians and the user’s direct manager.  Please note: when these applications are processed, access to the old department is automatically removed from the user’s profile.

FFE

Q.    Who can I contact to follow up on the status of my FFE application?
A.     FFE applications are processed by Financial Reporting and Operations.  Please contact Financial Reporting to check the status of an application.

Q.    Who can I contact to reset my FFE ID?
A.    The Help Desk can reset your password.  The Help Desk can be reached at 854-1919 or by email at consultant@columbia.edu.

Q.    How can I fix a technical problem in FFE?
A.    Running "FFEFIXIT" from within your system will resolve many technical problems.  In the event FFEFIXIT does not resolve your problem, please send an e-mail to: (FFETECH).

DARTS

Q.    How can I obtain access to DARTS?
A.    In order to access DARTS, you must have “Budget Inquiry” access within your FFE profile.  See the DARTS Homepage for more information.

Q.    What is DARTS used for?
A.    DARTS is used to gather financial data from FAS for management reports.

Q.   Who can I contact if I have a question about DARTS?

Q.   What is available in DARTS?
A.   Account Summary Statement
         * Current month data is available as of previous day's close of business.
         * Monthly data is available starting July-August 1999.
         * Annual data is available starting June Final 1991.
    Account Detail Statement
         * Current month data is available as of previous day's close of business.
         * Monthly data is available starting Jul_Aug 2001.
    General Ledger Statement
         * Current month data is available as of previous day's close of business.
         * Monthly data, including detail transactions, is available starting July-August 2001.
         * Monthly data (summary only) is available starting July-August 2000.
         * Annual data is available starting June Final 1991.
    Payroll Summary Report
         * Monthly data is available starting October 2001 (Health Sciences) and July-August 2002 (Morningside and other).
    Payroll Detail Report
         * Monthly data is available starting March 2002 (Health Sciences) and July-August 2002(Morningside and other).
    Employee Report
         * Monthly data is available starting July-August 2001.
         * Annual data is available starting June Final 1991.

Add-Comp

Q.    What is Add-Comp Advanced WebSAF?
A.    Add-Comp is an additional compensation sub-module of WebSAF that enables departments to request certain payment transactions (bonuses, make-up pay, special pay) for monthly employees (only).

myColumbia/FinSys Module

Q.    How can I gain access to myColumbia/FinSys?
A.    Users use their CUNIX ID and password to log into the myColumbia portal.  But in order to access FinSys, a user must have FFE access.  Please see the requirements for FFE.

Q.    What functions are performed through myColmbia/FinsSys
A.    A variety of functions related to our financial systems are done through the FinSys module.  Change orders, vendor creates and report access to name a few.

DWR

Q.    What information can be gathered from DWR?
A.    FAS Reports and Financial Management Reports can be accessed through Data Warehouse (DWR).

Q.    Who can I contact if I have a question or a request?
A.    Data Warehouse Report questions and/or requests can be filtered through DWR Development at dwhmgrs@cuvmc.ais.columbia.edu or by calling 854-3298.

 

Financial System Reminders

  • In order to access any financial system, an application is required. 
  • AP/CAR, FFE, DAF Authority have separate applications (applications cannot be combined).
  • Access to Add-Comp, DARTS and/or FinSys, must be requested through an FFE application.
  • A/P CAR applications are submitted electronically and are processed by Accounts Payable.
  • FFE applications (including requests for DARTS, Add-Comp and FinSys) are processed through General Accounting.  Theses applications must be printed and mailed to General Accounting for processing. 
  • DAF Authority forms must be printed and mailed to General Accounting for processing.  General Accounting will respond to inquiries, only after an application has been received. 
  • The Financial Systems Table is a resourceful tool and can answer many questions re: user manuals, training and system requirements.
